Events Manager

The Role
The Programme Communications Events Team delivers a varied programme of events for Ricardo’s major clients, including the European Commission and the UK Government.
The Events Manager will work with our Senior Events Manager to deliver engaging events that enable us to exceed customers' expectations.
Events will include in-person, online, and hybrid events and range in scale and scope from stakeholder meetings, workshops, and symposiums to major conferences over multiple days with supporting exhibitions, site visits, and social functions. Physical events mostly take place in the UK and EU.
Key Responsibilities
Each event will be different, but key activities would include:
- Attend client calls where event requirements are discussed and take notes to action changes.
- Maintaining calendars and schedules.
- Registering and communicating with delegates and speakers, from invitations, registrations, and brand-aligned communications to on-site registration and delegate engagement.
- Compiling delegate resources, handouts, graphics production and other collateral.
- Close liaison with venues and suppliers over requirements and confirmations.
- Scheduling and managing speaker rehearsals and supporting with the improvement of presentations (consistency, layout and brand alignment).
- Ensure content related to events on the websites is kept up to date.
- Organising accommodation, meals, and travel where required.
- Provide full support during live event delivery: registering delegates, liaising with venue management, cueing content, triggering interaction points e.g. polls, and handling enquiries from attendees.
- Compile analytics to produce post-event reports and perform basic video editing.
- Ensuring adherence to best-practice processes, including the internal Ricardo Procurement Process.
Key Competencies and experience
- Good use of English, written and verbal.
- Excellent communication skills – you are comfortable and credible engaging with senior internal and external stakeholders.
- Good attention to detail to ensure a high-quality work, suitable for scrutiny by senior customers and external stakeholders.
- Good awareness of online event platforms and prior experience in delivering webinars and hybrid events.
- Understanding of different communication channels and digital tools, using this knowledge to positively impact event performance.
- Build and maintain strong and productive customer relationships, establishing the customers' trust and confidence in the company’s capabilities.
- Manage customer expectations in line with the agreed budget, ensuring that we do not over-commit while balancing the customer relationship and ability to win future work. You can also create opportunities to expand our service offering to customers through demonstration of expertise.
- Comfortable working closely with senior colleagues across the business, providing advice and informing decision-making to ensure successful project outcomes.
- Enjoy the creative challenge of bringing an event to life through engaging and participatory activities and exceeding customers' expectations.
- Passionate about events and can adapt your behaviours to help meet the customer's needs.
- Exceptional organisational and planning skills, comfortable multitasking and managing multiple projects simultaneously with minimal supervision.
